What we collect

We collect your name, email address, voice recordings you create in the app, and the feedback text transcribed from those recordings. We also collect your program membership and role (resident, evaluator, or admin).

How it's stored

Your account and authentication data is managed by Clerk (clerk.com). Program data, evaluations, and transcriptions are stored in Supabase, a managed Postgres database hosted on AWS. Voice recordings are uploaded to Supabase Storage, transcribed by Deepgram, and then permanently deleted. Only the text transcript is retained.

Who can see your data

Evaluation feedback is visible to the resident it was written for, the evaluator who submitted it, and program directors (admins) in your program. No data is shared across programs. Synapse Evals staff may access anonymized aggregate data for support and product improvement purposes.

No PHI

Synapse Evals is designed for attending-to-resident clinical feedback, not patient records. Do not include patient names, identifiers, or any Protected Health Information (PHI) in your recordings or feedback text. The app is not HIPAA-covered for patient data.

Retention

Your data is retained for as long as your program is active on Synapse Evals. If your program ends its subscription, data is retained for 90 days and then permanently deleted upon written request.

Deletion requests

To request deletion of your personal data, contact us at support@synapseevals.com. We'll respond within 14 days.
